Responsibilities

About the position:

Senior Admin Executive at KMS Technology will oversee the admin services at KMS Head office as well as play the role of a driven administrative business partner to KMS entity(s) who provides various administrative support for its executives, employees, and clients. 

In order to evolve the workplace experience and create an environment that moves KMS forward, the successful candidate for this role needs to demonstrate strong capabilities in the delivery of high-quality admin services, smooth cross-functional partnerships, employee-centric initiatives, and practical solution findings with technology.

Key Responsibilities: 

  1. Manage the delivery of high-quality admin services including but not restricted to workplace operations, workplace auditing, Flexiwork (hybrid working model), office setup & development, legal affairs, expat relocating, business domestic/overseas trip arrangements; foreign visitors hosting, and in-house engagement activities.
  2. Act as Administrative Business Partner to KMS business lines to provide dedicated workplace admin services at full scope and be the point of contact for workplace day-to-day operations feedback or matters.
  3. Understand & implement relevant processes and procedures to make sure all assigned tasks are undertaken with high consistency & standards. 
  4. Pilot and develop new and innovative ways to improve workplace services experience. Work collaboratively with cross-functional partners, team members, and stakeholders to support the delivery of service excellence, continuously evaluating existing processes and systems to identify areas of improvement. 
  5. Serve as the window for employees in sharing their feedback and challenges relating to the workplace in order to address their needs and issues in a timely manner.
  6. Take on occasional stretch assignments, initiatives, projects, and engagement activities (partner with HR) to support on an ad-hoc basis.
  7. Advise Line Manager on planning to ensure the team goals are met.
  8. Other duties as may be requested by the Line Manager.

Qualifications

  1. At least 03 years of working in the Administration field in high-tech and/or international/multinational working environments. Experienced in managing small-scale projects from pre-planning to execution is preferred.
  2. Demonstrated ability to work independently and as part of a team to achieve group goals.
  3. Demonstrated strong organizational skills, including time management and the ability to prioritize and manage a range of tasks proactively. 
  4. Demonstrated good logical thinking and problem-solving skills.
  5. Demonstrated mindset and experience in consistently enhancing, innovating, and bringing new ideas to the table – both strategic and areas of execution.
  6. High availability for urgent 24/7 requests and the ability to work with people in different time zones. 
  7. Well-developed interpersonal skills, including negotiation, liaison, and excellent communication with all levels across the organization in both written and oral in English and Vietnamese.
  8. Technologically savvy with the ability to quickly accommodate new applications and tools
  9. High-level technical computer skills with Google Suite and/or MS Office Suite. Experienced with Mailchimp and/or Canva is preferred.
  10. Experience in organizing engagement activities for employees is a plus.
  11. Can-do attitude with a strong customer service mindset. 
  12. Possess high integrity and strong business ethics
  13. Willing to learn and self-development 
  14. Bachelor's Degree in Economics, Business Administration or equivalent qualification is preferred
